For City staff
Edit, review and publish a property
Maintain every section of a property, keep changes private until review, and publish deliberately.
Before you start
A City staff account. Some steps need an administrator, as noted.
The property workspace
Click a property name in the inventory to open its workspace. The section navigation covers Overview, Location and parcel, Readiness, Images and documents, Contacts and activities, Publishing and curation and History. Use the property switcher in the header to move to another record.
Going back to Properties restores the inventory's filters and scrolls back to the property you opened.
Autosave and conflicts
Edits save automatically, and the header shows the save state. On a published property, edits are saved as Unpublished changes. The public page stays as it was until the changes are published.
If a colleague saved the same record in the meantime, you get a conflict notice instead of overwriting their work. Switching language while editing keeps your fields and step.
Availability and readiness
Set Availability in the overview. In Readiness, set the status of each component and record when it was reviewed. The readiness designation is set separately and deliberately by staff; it is never derived from component scores.
Keep the three ideas separate: availability (can the site be acquired), readiness (the City's designation), and publication (whether the record is public).
Review and publish
- Draft or unpublished changesAutosaved. Visible to City staff only.
- Compare and confirmReview against the public version.
- PublishedPublic page updates. Needs a confirmed location.
- Open Publishing and curation.
- Review the unpublished changes against the public version.
- Choose Publish property and confirm, or Discard changes to drop them.
Publishing, and returning a property to draft, need an administrator; the server enforces this. If the public record changed after your edits began, you're asked to compare carefully before publishing. A property needs a confirmed location to be published.
Unpublish or archive
Unpublish removes a property from the public site and keeps it as a draft. Archive this property takes it out of active use. Both ask for confirmation. People who had a link see that the record is no longer public.
Record history
History lists who changed, published or curated the record and when. Staff and administrator actions across the platform are also recorded in the activity log.
